How Plotline works

One builder account holds the land, the stock, the sale, the site work, and the money. The platform owner stays outside that account and updates the plan by hand.

Flow

1 A builder owner registers the company and starts on the trial plan.
2 Add land, link it to a project, then add plots or units.
3 Capture a lead, schedule a site visit, and create a booking.
4 Receive money against the payment plan. Refunds reduce what was collected.
5 Milestones update project progress. Finance reads revenue, land cost, and expenses.
6 To change the plan, the builder sends a request. The platform owner updates the plan and records the payment by hand.
7 When the trial or the paid month ends, the account becomes past due. Records stay visible. Changes wait until a payment is recorded.

How a plan works

The builder asks. The platform owner changes the plan and records the money. There is no payment API.

1. Start

Registration attaches the trial. The plan sets the monthly price, how many projects can be created, how many staff can be invited, and how many trial days the account has.
2. Request

The builder opens Plan, chooses a different plan, and can add a note. Only one request can wait. The current plan stays until the platform owner acts. A past-due account can still send the request.
3. Update the plan

On Plan requests, Update plan switches only the plan and keeps the account Trial, Active, or Past due. On the builder page, Save subscription can set the plan and the status together.
4. Record the payment

Record a manual payment does not choose a new plan. It marks the account Active and adds one month from the later of the current period end or the payment date. If that date is already past, the month starts today. Nothing is charged online.
5. A smaller plan

Projects and staff already created stay open. The smaller limit blocks only the next project or the next staff account. Five hundred existing projects remain usable on a plan that allows two new ones.
6. Expiry

A trial ends on its trial end date. A paid plan ends on its period end date. The account becomes past due: pages and records stay open, and saves are paused. Recording a payment makes it Active for another month. A suspended account is signed out.

Roles

One user belongs to one builder. The platform owner is not a member of a builder.

Platform owner

Stays outside every builder account. Sees counts, attention, notices, plans, and plan requests. Updates a plan and records a payment by hand.

Builder owner

Belongs to one builder. Uses the full builder panel and is the only role that can create staff accounts.

Builder admin

Staff invited by the owner. Uses the same modules, including profile and plan requests. Cannot create or remove staff accounts.

Builders

Save subscription: Set the plan and the account status together.
Record a manual payment: Mark the account active and add one month. If the calculated end date is already past, the month starts today. This does not charge a card.

Attention

Past due: The account can be read, and changes are paused.
Trial ending: A trial ends within 7 days.
Period ending: A paid month ends within 7 days.
Suspended: The builder is signed out of the panel.

Profile

Plan

Send request: Ask for a different plan. One request can wait at a time. A past-due account can still send it.
Withdraw: Cancel a request that is still waiting.

Staff

3 options · Owner creates. Admin can view.

Invite: The owner adds a builder admin until the plan staff limit. The same email restores an account that was removed.
Remove: The owner takes a builder admin off the team. Past records stay. The owner account cannot be removed.
List: People already on this builder. A lower plan does not remove them.

Land and projects

Land bank

8 options · Builder owner and builder admin

Dashboard and list: This builder’s land only. Another builder’s land returns 404.
Overview: Location, area, status, and values.
Owners: Ownership shares. The total cannot pass 100%.
Parcels: Parts of the land. Their area cannot pass the land area.
Documents: Files stored under this builder. Download stays on this land.
Legal: Matters such as a title check, with type and status.
Transactions: Purchase and sale amounts. A payment cannot pass the purchase value or use a future date.
Timeline: What changed on this land.

Projects

Create: Stopped when the plan project limit is reached. Existing projects stay open after a downgrade.
Land: Link only this builder’s land. Disputed or transferred land cannot be linked.
Phases and layouts: Stages of the project, and the layouts drawn inside them. Layout area cannot pass the linked land.
Blocks: Plot groups on a plotted, mixed, or township project.
Towers: Floors and units on an apartment, mixed, or township project.
Approvals: Permissions and their expiry dates.
Documents and timeline: Files and the change history.
Inventory map and bulk import: The layout, and a way to add many plots together.

Inventory

Dashboard and availability: Available, hold, booked, agreement, and sold.
Plots: A plot record. Hold needs a hold-until date. Booked, agreement, and sold plots stay locked.
Units: The same availability rules for an apartment unit.

Sales

Leads

Dashboard and list: Leads for this builder. A new lead is logged in notifications.
Pipeline: Move the lead through the sales stages.
Activities and follow-ups: Notes and the next call. A follow-up due today is checked hourly.
Assignment: Give the lead to an active user of this builder.
Sources: Where the lead came from.

Customers

Customer record: The person on a booking. A lead converts once.
Documents: KYC files stored on that customer.

Site visits

List and calendar: Visits today and tomorrow are reminded once per day.
Visit record: Who is visiting, which executive, and whether it happened.

Bookings

Create: One plot or unit. Draft does not change stock. Reserved holds it. Confirmed books it. Agreement and completed follow. Cancelled releases it.
Payment plan: Installments must total the booking amount and cannot be due before the booking date.
Status: The booking can move only to the next status, or to cancelled.

Brokers

Broker: Contact, KYC, and the projects this broker can sell.
Commission: Calculated from an active slab. A draft or cancelled booking cannot earn it. Approved or paid commission is not recalculated.
Payout: Money paid to the broker. It does not change the customer receipt.

Site, money, and notices

Construction

Dashboard: Open work, overdue tasks, and project progress.
Milestones: Weighted progress. A completed milestone is 100%. On hold stays on hold until progress reaches 100%.
Tasks: Pending, in progress, completed, or cancelled. A task due today is notified.
Contractors and materials: Who is on site, and the material list.
Site updates: Notes and photos. Photos are jpg, png, gif, or webp.

Collections

Receive payment: Cash, bank, UPI, or cheque against installments. Not a draft or cancelled booking. The date cannot be before the booking or in the future.
Refund: Cannot exceed what is left on that receipt, or be dated before it.
Plans, due, overdue, outstanding, history: What is scheduled, what is late, and what has been received. Collected is net of refunds.

Legal

Dashboard: Open land matters and project approvals in one list.

Finance

Dashboard: Profit for this builder’s projects.
Project statement: Revenue minus land cost minus expenses. Collections do not change that profit figure. They show what was received.
Expenses: Costs dated on the project.

Communications

Channels: In-app is on at the start. Email is logged. WhatsApp stays off until it is turned on, and it is logged too.
Inbox: Leads, confirmed bookings, receipts, dues, visits, follow-ups, and expiring documents. The same notice is stored once per channel per day.
